Program Cancellation and Refunds – Temporary Amendment

Changes to our Program Cancellation and Refunds policy due to the global pandemic

EFFECTIVE:  May 18, 2020 (updated: June 30, 2020)

As a result of the global COVID-19 pandemic, Madison Mountaineering has amended the program cancellation and refunds policy, providing more flexible terms to ease your mind when booking programs with us during this time of uncertainty.  This amendment is temporary and applies to program bookings made before August 15, 2020.  We are continually monitoring the impact of the pandemic on international and domestic travel, our programs, and most importantly, the health and safety of our team members, guides, and staff.  In response, we may make adjustments to this date.

  • The due date for the Program Fee balance payment (§6.a.ii) is relaxed from 120-days for international programs and 90-days for domestic programs to 30-days prior to the Program Start Date for all programs, except Antarctica expeditions which are due 90-days prior.
  • If you cancel your participation in a program (§7.a.ii) before 30-days prior to the Program Start Date, we will refund any of the Program Fee paid by you, minus any nonrefundable, prepaid expenses paid by Madison Mountaineering for the Program.  After 30-days prior to the Program Start Date, we will refund 50% of your Program Fee balance payment.  Due to the high operational cost, no refunds for Antarctica expeditions will be offered after 90-days prior to the Program Start Date.
  • If Madison Mountaineering is forced to cancel your program due to circumstances related to the COVID-19 pandemic prior to the Program Start Date (§7.b.i & §7.b.ii), we will notify you at least 7 days prior to the Program Start Date and refund any of the Program Fee paid by you, minus any nonrefundable, prepaid expenses paid by Madison Mountaineering for the Program.
